The following process allows users to utilise Toniq POS Selling and manually created products to keep track of staff times (for Pay Roll or Clock in-Clock out purposes.)



Initial Setup         (these steps only needs to be completed once)


Creating the Staff Times department

  • From the main menu, go to [2. Stock Control, 3. Stock Maintenance, 5. Maintain Departments]

  • Press [F3 Add]

  • In the ‘Name’ field type a suitable name (ie Staff Times)

  • Press [F12 Accept Details]


Creating your Clock Ins/Outs Product cards

  • From the main menu, go to [2. Stock Control, 3. Stock Maintenance, 2. Maintain Products]

  • Press [F3 Add]

  • Give the product a suitable name  (ie  Clock IN)

  • Select the appropriate Department (as created above)

  • Give this product an easy-to-remember Shortcode (ie IN)

  • Press [F4 Stock]

  • Tick both ‘Non diminishing’ & ‘Don’t Order

  • Press [F12 Accept Details]

  • Press [F11 Next Page]

  • Tick ‘Free product’ and ‘Don’t report’

  • Now press [F12 Accept Details]


Note:    You will want to create at least 2 Product clock cards, one for IN and another for OUT.  

 

If you want to keep track of lunch breaks as well then you may want to create an additional 2 products (eg Clock Out Lunch, Clock In Lunch).      

 

Ensure you add the appropriate department and a shortcode for each product and tick Don’t Order, Non diminishing and Free Product boxes on each product created.



Creating the Staff Times Report

  • From the main menu select [6. Reports, 4. Audit/Utility Reports, 8. Transaction audit]

  • Press  [F3 Add]   (if you are presented with a blank search screen, otherwise move to the next step)

  • Give the report a suitable name (ie ‘Clock Ins & Outs’)

  • Select the appropriate ‘Department’ created previously  (ie Staff Times)

  • Press [F12 Accept Details] then [Escape]





Using the Clock In / Out Products


Each staff member should now use the created products to log in and out as per your requirements

  • Go into POS Selling as normal  (1. POS, 1. POS Selling, enter Seller Log In)

  • Type in the appropriate Shortcode and press [Enter]  (ie. IN, OUT, LI, LO)

  • Press [F12 Tender] then [F12 End Sale]


Note:  Ensure your Staff know the correct process and all created shortcodes, including Lunch break codes if you have chosen to use these.



Reporting on Staff Clock In & Out Times

  • From the main menu select [6. Reports, 4. Audit/Utility Reports, 8. Transaction audit]

  • Either type in part of the report name you previously created (ie Clock) and press Enter OR just press Enter for a full list

  • Select your previously created report from the list displayed

  • Input the required date range (Start and End date/times)

  • If you want to see Clock In/Out times for just ONE particular seller, press the spacebar in the ‘Seller/ Teller’ field and select the seller required

  • Press [F12 Accept Details] then [F10 View Pages] or [F12 Print] to print them out
